Circolo and Admin Avenues Join Forces to Simplify Events

Organising events is one of the most complex, and  underestimated, responsibilities carried out by administrative professionals.

From board meetings and staff functions to national conferences and awards nights, every event involves a long list of moving parts: guests, suppliers, schedules, budgets, catering, dietary requirements, communications and inevitable last-minute changes.

 

A new partnership between Circolo and Admin Avenues will help bring those moving parts together, creating a more connected, efficient and reliable way to manage events.

Through the partnership, Circolo will provide the connected event-management platform used to plan and deliver Admin Avenues conferences, professional development events, networking functions and the industry awards produced for the Australian Institute of Office Professionals (AIOP).

Admins Are Event Managers

Candice said event management was an important, but often overlooked part of the work performed by administrative professionals.

“Admins are event managers, even if it isn’t written in their job title,” she said.

“A board meeting is an event. Birthday drinks or a colleague’s farewell are staff events. It doesn’t have to be a major conference to involve event coordination.

“It could be a town hall, leadership offsite or internal function where you’re responsible for the catering, speakers, presentations, technology and participants, often alongside the rest of your role.”

Before adopting Circolo, Admin Avenues relied on a combination of separate ticketing platforms, spreadsheets, email communications and shared documents.

Candice said managing information across disconnected systems increased the administrative workload and created a greater risk of important details being missed, changed or accidentally deleted.

“Previously, we managed ticketing through one platform, table allocations in Excel and communications through shared documents,” she said.

“We were constantly moving between systems and hoping nobody changed the wrong part of a spreadsheet or accidentally deleted something important.”

Admin Avenues now uses Circolo across its event portfolio, which ranges from intimate professional gatherings to national conferences and gala awards involving hundreds of attendees.

Circolo brings ticketing, guest information, tasks, deadlines, budgets, suppliers, dietary requirements, forms, run sheets and check-in tools into one central workspace. This allows organisers to manage an event as a complete project rather than piecing it together across multiple systems.

“The biggest benefit is having everyone working from the same platform, with access to the information they need,” Candice said.

“You can allocate responsibilities to different team members, so everyone knows what they own and when it needs to be completed.

“We can tag items, set deadlines, track ticket sales and click through to view guest information. It gives us project-management capability alongside the event-management tools.”

Taking the Work Out of Ticketing

Circolo also allows people purchasing group or table bookings to enter the details of each attendee, including dietary requirements.

This reduces the need for organisers to manually chase individual names and information, and helps ensure the details provided are accurate.

Candice said this capability was particularly valuable for larger events, where incomplete or incorrect information could affect catering, seating arrangements and the overall guest experience.

“If someone purchases a table, they can enter each guest’s information directly instead of us having to follow up repeatedly for names, email addresses and dietary requirements,” she said.

“That saves an enormous amount of time while giving attendees greater control over the information submitted on their behalf.”

Circolo’s mobile ticketing and check-in system also allows multiple team members to scan tickets from their phones as guests arrive.

“The ticket-scanning process is incredibly simple,” Candice said.

“You can have several team members checking people in across different phones. Attendees can save their tickets to their devices, or bring a printed copy if they prefer to keep it old school.”

Managing Change Without Losing Control

Circolo is positioning itself as the event project-management platform for teams delivering complex events. Its capabilities extend beyond registrations and ticketing to help organisers save time, reduce risk and respond quickly as event requirements change.

Candice said that flexibility was essential because in-person events involved countless moving parts, from speaker presentations and audiovisual requirements to name tags, catering and last-minute program updates.

“Changes happen constantly when you’re delivering events, so being able to update information quickly and know that everyone is working from the latest version is critical,” she said.

“Administrative professionals are usually managing events alongside many other responsibilities. Having one easy-to-use platform that brings the entire event together can make a significant difference, not only to the workload, but to the confidence you have that nothing will fall through the cracks.”
